About the role

  • Daily management of the front desk and coordination of front desk activities
  • Manage incoming calls, telephone enquiries, visitor reception and client enquiries
  • Perform administrative and clerical duties including filing and managing visitor carparking
  • Arrange outgoing couriers, sort and distribute incoming/outgoing mail and courier deliveries
  • Schedule and coordinate Leadership Team meetings, business functions, lunches and dinners
  • Prepare written documentation and communications for Senior Managers
  • Coordinate international guest visits and organise hospitality
  • Organise, book and manage business travel and expenses for the Leadership Team
  • Provide support to Konica Minolta’s Leadership Team and report to the Senior Manager, Facilities, Quality & Environment
  • Maintain confidentiality and a high level of integrity

Requirements

  • Ensure the smooth and efficient running of the front desk
  • Manage all incoming calls and general telephone enquiries
  • Greet and advise visiting clients in a professional and courteous manner
  • Perform a variety of administrative and clerical duties such as filing and managing visitor carparking
  • Arrange outgoing couriers’ deliveries
  • Sort and distribute incoming/outgoing mail and courier deliveries
  • Schedule and coordinate Leadership Team meetings, business functions, lunches and dinners
  • Prepare written documentation and communications for Senior Managers
  • Coordinate international guest visits
  • Organise, book and manage business travel & expenses for the Leadership Team
  • Demonstrated experience in a similar role
  • Excellent customer service and interpersonal skills
  • IT literacy in MS Office suite (Excel, Word & Outlook in particular)
  • Excellent time management and organisational skills
  • Ability to collaborate with internal and external stakeholders to build relationships, credibility and trust
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and demonstrate a high level of integrity
  • Excellent attention to detail
  • Ability to work in our Macquarie Park office 5 days/week (parking available)
  • Successful candidate will be required to undertake background checks
