About the role
Key responsibilities & impact- Own administration and setup of internal tools, software, and platforms; serve as the go-to resource for tool-related questions and troubleshooting
- Document and maintain operational processes and SOPs, keeping the team aligned as we scale
- Support special projects and strategic initiatives led by the Head of Operations
- Assist with invoicing, billing follow-up, and basic reconciliation
- Track and maintain accurate AR/AP records
- Keep financial documentation organized and audit-ready
- Serve as the day-to-day liaison with our CPA and CFO consultants, ensuring they have what they need to move quickly
- Manage day-to-day activity in our ATS — posting roles, organizing pipelines, scheduling interviews, and participating in the process
- Conduct initial resume reviews and surface strong candidates to hiring managers
- Support smooth onboarding and offboarding logistics for new and departing team members
- Coordinate domestic and international travel, including flights, hotels, and full itineraries
- Manage scheduling and calendar coordination across the team
- Assist with social media posting and scheduling across company channels, keeping content consistent, timely, and on-brand
Requirements
What you’ll need- Located in the San Francisco Bay Area with availability for a hybrid schedule (2 days/week in-person)
- 2–4 years of experience in an operations, administrative, or coordinator role, ideally at a startup or growing company
- Experience building and managing OKR and KPI frameworks
- Comfortable context-switching and juggling multiple workstreams without dropping the ball
- Familiarity with tools like QuickBooks, an ATS (Greenhouse, Lever, Ashby, or similar), and social media scheduling platforms
- Strong attention to detail, especially with financial documents and candidate data
- Proactive and low-ego — you notice what needs to be done and you do it
- Clear, concise written and verbal communication
- Discretion when handling sensitive information across finance, HR, and operations
