About the role

Key responsibilities & impact
  • Process bi-weekly payroll for approximately 150 employees in ADP Workforce Now — accurately, on time, every time
  • Manage all pay changes including new hires, terminations, adjustments, commissions, garnishments, and deductions
  • Maintain multi-state tax setup across all jurisdictions (SUI, SDI, local taxes); stay current on wage and hour compliance, nexus rules, and reciprocity agreements
  • Reconcile payroll registers and resolve discrepancies before every pay run
  • File all payroll tax returns (941, W-2, state equivalents) on time
  • Own year-end processes including W-2 distribution, ACA/1094/1095 reporting, and full reconciliation
  • Partner with Finance on journal entries, labor cost reporting, and audits
  • Administer health, dental, vision, life, disability, and 401(k) plans across a multi-state workforce
  • Manage benefits eligibility and enrollment in ADP; maintain accurate carrier feeds
  • Run open enrollment end-to-end: communications, carrier coordination, employee decision support, and data entry
  • Handle qualifying life events, COBRA notifications, and leave of absence benefits continuation
  • Audit carrier invoices monthly and resolve billing discrepancies promptly
  • Track ACA eligibility and measurement periods; coordinate 1094/1095 filings
  • Review plan performance annually and bring recommendations to leadership
  • Maintain accurate, compliant records in ADP covering personal information, employment history, pay data, and documents
  • Run onboarding in ADP including paperwork, I-9 verification (including remote workflows), background checks, and system access
  • Execute offboarding with attention to state-specific final pay requirements, benefits termination, and COBRA
  • Administer PTO accruals, FMLA, and state-specific leave laws
  • Draft and maintain offer letters, agreements, and multi-state HR policies
  • Stay current on FLSA, FMLA, ACA, COBRA, and ERISA; flag compliance issues proactively
  • Respond to employee payroll and benefits questions promptly — same day whenever possible
  • Communicate benefits options, leave rights, and policy changes in plain language
  • Proactively notify employees about anything affecting their pay or benefits before they have to ask
  • Handle sensitive matters with consistency, discretion, and professionalism
  • Other special projects as assigned by HR Manager.

Requirements

What you’ll need
  • 5–7 years of hands-on HR, payroll, and benefits administration experience
  • Multi-state experience in higher-complexity states such as CA, NY, WA, or IL
  • Direct working experience with ADP Workforce Now — ability to configure, troubleshoot, and operate it independently
  • Demonstrated multi-state payroll experience with solid compliance knowledge
  • Strong knowledge of FLSA, FMLA, ACA, COBRA, ERISA, and state-level variations
  • Benefits administration experience for a workforce of 100+ employees
  • Proven track record of accuracy and meeting deadlines
  • Clear, direct communicator who provides real answers and follows through.
