About the role

  • Serve as a strategic and administrative partner to the CEO—managing scheduling, inbox, travel, and daily priorities.
  • Help the CEO stay focused on what matters most by anticipating needs and taking initiative; act as a gatekeeper for the CEO’s time, prioritising competing demands and requests.
  • Understand team dynamics and assist in managing team PTO (including alignment, communications, approvals).
  • Ensure regular communication flows (1:1 meetings, performance management, feedback loops) and prepare agendas; actively track follow-ups and ensure follow-through on key items.
  • Draft, review, or organise key documents, presentations, and communications.
  • Manage, co-ordinate & book CEO travel and manage Board logistics including scheduling board meetings and dinners; liaise with board member EAs as required.
  • Provide EA support for the Chief Revenue Officer (diary management, travel bookings, team coordination) and ad hoc diary management for the Chief Financial Officer.
  • Help coordinate in-person meetings or leadership events, often in collaboration with the COO, and pitch in to help other Leadership Team members as required.
  • Oversee day-to-day operations of the Sydney office, including stocking supplies and coordinating facility needs; work with facilities partner Stone and Chalk for onboarding new hires into the office.
  • Implement and plan monthly office socials with People Experience Team to drive engagement and wellbeing.
  • Act as the go-to contact for employees with office-related needs or questions and provide diary support for CRO/CFTO.

Requirements

  • 5+ years in a Senior Executive Assistant, Administrator, Office Manager, or similar role.
  • Proven ability to work autonomously and adapt in a dynamic environment.
  • High level of discretion, organisation, and attention to detail.
  • Strong written and verbal communication skills.
  • A sense of ease and curious collaboration across the organisation.
  • Based in Sydney, with flexibility to work from the office several times throughout the month
  • Familiarity with Google Workspace, Slack, Canva, & Monday.com. Knowledge with Jira and Confluence, and knowledge of key AI tools such as ChatGPT is a plus!
  • Strong knowledge of traditional office applications and willingness to adopt new technologies, including AI.
