About the role

  • Operate a multi-line telephone system to relay incoming and interoffice calls
  • Answers and transfers phone calls, or relays messages
  • Greets and registers visitors, informs employees of the visitor's arrival, and directs visitors to the appropriate meeting room
  • Collects and distributes mail
  • Schedules meetings, and arranges for conference rooms or makes other logistical arrangements as required
  • Maintain a clean and neat reception area
  • Operates office machines such as printers, faxes, and machines
  • Prepare and process expense accounts and other miscellaneous documents
  • Arrange executive staff travel, hotel accommodations, and car rentals
  • Assist in scheduling meetings, coordinating agendas, room preparation, and ensuring that necessary material is available
  • Provides clerical support to the HR department
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.

Requirements

  • Experience 6 months to 2 years experience as a receptionist using a multiline phone system
  • Advanced interpersonal skills including the ability to communicate effectively both orally and in writing with managers, supervisors, employees and the general public
  • Ability to consistently project a professional demeanor and maintain a high level of confidentiality
  • Ability to utilize good judgment and work independently while recognizing the importance of working within established procedures and departmental requirements
  • Ability to independently problem-solve as well as become familiar with organizational structure in order to effectively handle and direct inquiries to the appropriate individual or resource
  • Strong organizational skills supporting the ability to multi-task in simultaneously satisfying multiple demands
  • Proficiency in use of Google Suite
