About the role
Key responsibilities & impact- Provide comprehensive administrative support to assigned leaders and teams, including calendar management, meeting coordination, and follow ‑ up.
- Coordinate meetings, conference calls, and onsite/offsite events, including logistics, materials, and attendee communications.
- Arrange domestic and international travel and prepare expense reports in accordance with company policies.
- Prepare, format, and distribute internal and external correspondence, presentations, and reports.
- Serve as a point of contact for internal stakeholders and external partners, ensuring timely and professional communication.
- Maintain files, trackers, and records to support operational, security, facilities, and real estate activities.
- Support departmental projects and initiatives by tracking actions, deadlines, and deliverables.
- Identify opportunities to improve administrative processes and enhance team efficiency.
Requirements
What you’ll need- High school diploma or equivalent
- 0 –2 years of administrative or office support experience.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Clear written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Preferred: Experience supporting multiple leaders or cross ‑ functional teams.
- Preferred: Experience in a corporate, facilities, real estate, security, or operations environment.
- Preferred: Familiarity with travel and expense management systems.
- Preferred: Demonstrated ability to anticipate needs and proactively solve problems.
- Preferred: Strong attention to detail and follow ‑ through.
- Preferred: Strong organizational skills with the ability to manage multiple priorities and deadlines.
