About the role

Key responsibilities & impact
  • Provide comprehensive administrative support to assigned leaders and teams, including calendar management, meeting coordination, and follow ‑ up.
  • Coordinate meetings, conference calls, and onsite/offsite events, including logistics, materials, and attendee communications.
  • Arrange domestic and international travel and prepare expense reports in accordance with company policies.
  • Prepare, format, and distribute internal and external correspondence, presentations, and reports.
  • Serve as a point of contact for internal stakeholders and external partners, ensuring timely and professional communication.
  • Maintain files, trackers, and records to support operational, security, facilities, and real estate activities.
  • Support departmental projects and initiatives by tracking actions, deadlines, and deliverables.
  • Identify opportunities to improve administrative processes and enhance team efficiency.

Requirements

What you’ll need
  • Required: 0 –2 years of administrative or office support experience.
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
  • Clear written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Preferred: Experience supporting multiple leaders or cross ‑ functional teams.
  • Experience in a corporate, facilities, real estate, security, or operations environment.
  • Familiarity with travel and expense management systems.
  • Demonstrated ability to anticipate needs and proactively solve problems.
  • Strong attention to detail and follow ‑ through.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Language: English (required)
