About the role
Key responsibilities & impact- Serve as a primary point of contact for the CEO, fostering positive relationships across all levels of the organization.
- Collaborate with the Corporate Secretary’s office and Board of Directors assistants on scheduling and coordination.
- Handle complex and dynamic calendars with strong prioritization skills.
- Coordinate high-level meetings, including Executive Committee sessions, DePuy Synthes leadership meetings, and offsite events.
- Arrange intricate domestic and international travel and process expense reports promptly.
- Prepare and manage eMarketplace purchase orders and check requisitions.
- Use technology platforms (Zoom, Teams) to optimize virtual and in-person interactions.
- Support activities related to interview scheduling, hiring, and onboarding as needed.
- Maintain flexibility and anticipate changes to daily schedules with advanced organizational skills.
- Stay informed on company policies and procedures.
- Handle confidential and critical information with discretion and integrity.
- Guide workflow for other administrative support when required.
Requirements
What you’ll need- High School diploma required; Associate degree preferred.
- Minimum 10 years of executive-level administrative support experience.
- Proven expertise in complex calendar management and travel coordination.
- Ability to partner effectively across all organizational levels.
- Prior experience supporting the head of a major corporate function preferred.
- Experience supporting a Human Resources function is helpful but not mandatory.
- Demonstrated ability to maintain highly confidential information.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong knowledge of Ariba/e-Marketplace, Concur, travel systems, and Workday.
- Highly organized, detail-oriented, self-starter with strong customer focus.
- Experience in a complex, global, fast-paced environment preferred.
