About the role

Key responsibilities & impact
  • Provide comprehensive administrative support to senior leaders, including calendar management, meeting coordination, and travel arrangements.
  • Prepare, edit, and manage presentations, reports, correspondence, and other business documents.
  • Coordinate internal and external meetings, including logistics, agendas, and follow‑up actions.
  • Serve as a key point of contact for leaders, managing communications and prioritizing requests.
  • Support planning and execution of leadership meetings, events, and off‑sites.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Assist with expense reporting, procurement requests, and other administrative processes.
  • Identify opportunities to improve administrative processes and support operational efficiency.
  • Document handling: Print, stamp/seal, mail/ship, distribute, and route documents for wet signatures.
  • Records management: Store/archive/retrieve HR documents; fulfill requests; coordinate offsite storage; scan and name for Veeva.
  • Compliance/admin: Upload/submit filings; print and hand-deliver to agencies; support audits and onsite audit coordination.

Requirements

What you’ll need
  • Typically 0-2 years of experience providing administrative or executive support to senior leaders.
  • Proven ability to manage complex calendars, schedules, and competing priorities.
  • Strong organizational skills with exceptional attention to detail and follow‑through.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint.
  • Ability to handle confidential information with discretion and sound judgment.
  • Experience supporting executives in a global or matrixed organization (Preferred).
  • Familiarity with coordinating across multiple time zones (Preferred).
  • Experience supporting leadership events, town halls, or off‑site meetings (Preferred).
  • Exposure to healthcare, medical device, or other regulated industries (Preferred).
