About the role

  • Serves as Secretary to the Facility Director.
  • Keyboards and transcribes from oral dictation a variety of material much of which is confidential and technical in nature such as reports, correspondence, position papers, budget and statistical data, performance evaluations, disciplinary actions, grievance reports, etc.
  • Utilizes computer to generate reports, develop formats and establish and maintain files on computer.
  • Maintains Supervisor, Executive Staff, and Internal Security Investigators schedules.
  • Sets up the SIU (Southern Illinois University) School of Medicine video equipment for the Facility Physicians and enter the Physicians’ CME (Continuing Medical Education) credits into the SIU database system.
  • Sets up and maintains files of correspondence and reports.
  • Maintains accurate and current Department Policy and Procedure Directives, facility policies and procedures, executive orders, etc.
  • Opens, reads, and distributes incoming correspondence.
  • Receives visitors.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of two (2) years of secretarial or business college and three (3) years of secretarial experience OR Completion of high school and five (5) years of secretarial experience.
  • Requires the ability to keyboard from copy at a minimum net rate of 55 words per minute.
  • Two (2) years advanced proficiency in office programs such as Microsoft Office Suite, including word, access, and excel to generate reports, correspondences, position papers, budget and statistical data.
  • Five (5) years of experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
  • Three (3) years of experience conducting special projects which include evaluating existing and proposed programs, policies, and procedures for a public or private organization.
  • Five (5) years of experience communicating clearly and effectively both orally and in writing with both internal and external officials, providers and/or the general public.
  • Two (2) years of experience researching and developing correspondence to internal and/or external individuals.
  • Five (5) years of experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
  • Three (3) years of experience coordinating meeting arrangements, including the maintenance of calendars, and making travel plans for an administrative official.
