Client & Project Operations Coordinator

About the role
Key responsibilities & impact- Manage project timelines, tasks, and deliverables in Asana
- Schedule meetings, prepare agendas, capture notes, and track follow-up items
- Lead project kick-off meetings and support regular status calls
- Maintain accurate project documentation, assignments, and updates
- Coordinate logistics for annual conferences and periodic events
- Prepare client wrap-up reports and asset summaries
- Serve as a friendly, reliable point of contact for day-to-day client communication
- Follow up with clients after meetings on what was discussed, assignments, next steps, and gather missing information
- Prepare creative briefs and support messaging development
- Assist with partner kits and other client-facing materials
- Manage social media accounts for select clients
- Develop and distribute client e-newsletters
- Maintain client websites with updates and blog posts
- Support implementation of media or campaign plans (operational tasks only)
- Support event logistics and internal operations tasks
- Help coordinate weekly staff meetings
- Prepare presentations, agendas, and internal materials
- Maintain organised digital files and documentation
Requirements
What you’ll need- 2 to 4 years experience in project coordination, client support, operations, or a related role
- Experience working for a US or International Business.
- Strong organisational and time-management skills
- Excellent written and verbal communication
- Comfortable interacting with clients via email, phone, and video
- Proficient with MS Office and Google Workspace
- Ability to work independently and manage multiple priorities
- Professional, personable, and eager to learn
- Brownie points for: College degree, Experience in marketing, Experience with life sciences or higher education, Experience with Asana, Good writing or proofing skills, Agency experience in marketing, communications, or life sciences marketing
