About the role

  • Assist with planning and coordinating events related to business development, referral relationships, or client engagement (including tracking invites, materials, deadlines, and follow-up items)
  • Maintain strong visibility on task progress and deadlines through structured project tracking (e.g., Asana or similar).
  • Support implementation of improved internal procedures, tracking tools, and matter workflow systems
  • Assist with internal operational initiatives such as coverage planning, support forecasting, and coordination of team workflows and responsibilities during high-volume periods
  • Assist with the management, organization, and maintenance of document banks, templates, and internal reference materials
  • Maintain strong internal organization across client matters, ensuring files are complete, current, and accessible.
  • Support attorney-level billing workflows, including coordination, accuracy review, and administrative tracking
  • Assist with collections follow-up and Accounts Receivable outreach in a professional, client-friendly manner.
  • Support attorneys and team members with document gathering, filing, and tracking to keep matters progressing smoothly.
  • Monitor billing status and proactively flag issues that impact cash flow, realization, or time-to-payment.
  • Manage a high volume of legal files and documents with accuracy and urgency.
  • Support attorney-led marketing projects, particularly those requiring: organizational management; scheduling, tracking, and follow-through, and coordinating logistics and deliverables
  • Identify inefficiencies and recommend solutions to streamline workflow and reduce friction.
  • Support Lawmatics and other legal technology tools with updates, organization, and usage consistency.
  • Assist with building out and maintaining systems that support team efficiency and growth, including: workflow templates, standardized processes, and checklists and internal SOPs

Requirements

  • 2-3 years of experience working as a Client Happiness Coordinator
  • Experience with Billing and collection tasks
  • Legal background is a big plus
  • Bachelor’s degree in Business Administration, Marketing, or Communications
  • Project Management Professional (PMP) certification or similar (preferred)
  • Software: Asana, Lawmatics, Copilot
