About the role
Key responsibilities & impact- Manage the CEO’s schedule to arrange meetings, triage incoming requests, and ensure that all deadlines are met effectively.
- Coordinate and facilitate communication between the executive and other internal team members, ensuring clear and effective collaboration.
- Support the Executive Team working cadence including weekly meetings, regular brainstorming sessions and quarterly offsites.
- Own travel arrangements and external engagement logistics with meticulous attention to detail, building contingency plans so nothing is left to chance.
- Assist with key priorities including preparing necessary materials and organizing the CEO’s workflow.
- Proactively identify issues and implement solutions to maintain momentum on critical activities.
- Prepare materials and organize workflow to keep the CEO's key priorities moving forward.
- Partner closely with the Senior Manager, Executive Operations and cross-functional leaders to strengthen and continuously improve executive operations processes.
- Support the CEO's engagement with the Board and other senior stakeholders, including helping prepare materials and coordinate logistics for Board meetings and other high-stakes, elevated communications.
Requirements
What you’ll need- 7+ years of experience as an executive assistant or in a similar administrative role, ideally supporting C-level executives — with 2-4+ years directly supporting a CEO or Founder strongly preferred.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with comfort communicating at the Board and executive level.
- Sound independent judgment and decision-making — able to distinguish between what to run with and what to escalate.
- Ability to handle sensitive and confidential information with the highest level of discretion.
- Strong problem-solving skills and the ability to work independently and autonomously.
- Excellent interpersonal skills and the ability to build positive relationships with colleagues and external contacts.
