About the role

Key responsibilities & impact
  • Own the onboarding experience for new hires across Sales, Marketing, and Operations, ensuring each person is set up in HubSpot and confident using the tools relevant to their role.
  • Train and mentor team members on system functionality, workflows, and best practices – both one-on-one and in group sessions.
  • Develop and maintain enablement materials, including role-based setup guides, quick-reference documentation, and training resources teams can self-serve from.
  • Serve as the ongoing resource for user questions, adoption issues, and refresher training as tools and processes evolve.
  • Maintain and continuously improve SOPs as sales and marketing processes change, ensuring documentation stays accurate and actionable.
  • Manage documentation projects end-to-end, from identifying gaps and inconsistencies to drafting, reviewing, and publishing updates.
  • Lead training and communication around process and system changes so teams understand not just what changed, but why.
  • Partner with stakeholders across departments to standardize how work moves through the CRM.
  • Build and maintain recurring reports and dashboards covering pipeline, lead source, rep activity, conversion, and other key sales and marketing metrics.
  • Fulfill ad hoc reporting requests from sales leadership and other stakeholders, translating business questions into clear, accurate reports.
  • Own data quality by maintaining custom properties, list segmentation, and pipeline/deal stage configuration.
  • Identify and resolve duplicate, incomplete, or inconsistent records through regular audits and cleanup.
  • Manage day-to-day system configuration and user support, triaging requests and escalating system-level issues appropriately.
  • Support tool integrations between HubSpot and connected platforms, coordinating with the broader systems team as needed.

Requirements

What you’ll need
  • 2–3 years of experience in a sales operations, marketing operations, or CRM administration role
  • Hands-on experience administering HubSpot
  • Experience with AI tools (e.g., Claude, ChatGPT) and a willingness to apply them to day-to-day work
  • Proficiency with Microsoft 365 and its surrounding tools (Outlook, Teams, SharePoint, Excel)
  • Solid working knowledge of sales and marketing processes and how they connect
  • Strong written and verbal communication – able to document clearly and train confidently
  • Data literacy and comfort working in spreadsheets (Excel) for reporting and analysis
  • Project management versatility – able to run multiple workstreams simultaneously and drive them to completion
  • A strong sense of ownership, high attention to detail, and proven problem-solving skills
  • Experience training or mentoring others
  • Ability to work full-time, in-person, on-site
