About the role

Key responsibilities & impact
  • Manage, develop, and hold accountable the Receptionist, Administrative Coordinator, Backup Receptionist, and Maintenance Technician
  • Model and reinforce Jani-King’s professional standards across the office environment
  • Primary contact for onboarding and training new Office Managers and corporate administrative staff
  • Manage all travel for corporate executives, operations staff, training participants, and Regional Directors
  • Coordinate all franchise owner certification classes
  • Main contact and relationship owner for Spring Hill Suites Addison
  • Manage and negotiate corporate rate contracts with Enterprise National and Hertz
  • Lead the full convention planning process
  • Oversee all logistics and support staff from planning through on-site execution and post-event follow-up
  • Own vendor selection, rate negotiation, contract management, and performance oversight across all office service categories
  • Review and process invoices for all office utility and service accounts
  • Manage alarm system contracts; after-hours security contact; communicate office closings company-wide

Requirements

What you’ll need
  • Minimum 7–10 years of progressive office management, operations management, or executive administration experience
  • At least 3–5 years in a senior or leadership capacity in a corporate environment
  • Demonstrated track record managing complex, high-visibility operations with multiple simultaneous priorities and stakeholder groups
  • Prior experience in corporate travel coordination, large-scale event or convention planning, and vendor contract negotiation required
  • Experience working directly with or in support of C-suite executives and senior leadership teams
  • Proven supervisory experience; ability to set expectations, develop staff, and hold a team accountable to performance standards
  • Background managing multi-location or multi-site office operations a strong plus
  • Bachelor’s degree in Business Administration, Operations Management, or related field strongly preferred; equivalent experience considered
