Support vendor sourcing and selection; liaise with Legal to ensure timely and accurate contract negotiations and completion.
Own all financial processes related to live events, including supplier registration, purchase order submissions, invoice tracking, and on-time payments in partnership with the Finance and Procurement teams.
Create and maintain budget trackers, ensuring full financial visibility, cost control, and alignment with forecasted spend.
Develop and manage the event operations master log, ensuring deadlines are met and risks are escalated promptly.
Serve as the primary point of contact for external vendors and venues, ensuring alignment on plans, timelines, deliverables, and expectations.
Lead on-site event operations, overseeing comprehensive build and break schedules to deliver seamless, efficient builds and de-rigs.
Create, review, and sign off technical floorplans, working with vendors to map rigging, attendee flow, power distribution, networking, livestream infrastructure, and stage design.
Ensure all operational and technical plans meet compliance standards, including fire safety, accessibility, licensing, and industry regulations.
In partnership with suppliers, ensure rigorous adherence to health and safety protocols, continuously reviewing and enhancing policies to safeguard staff, talent, and attendees.
Champion accessibility and inclusivity across all aspects of event delivery, improving live experiences for attendees with differing needs.
Lead the creation, organisation, and dissemination of operational documentation, including floorplans, schedules, and safety packs, ensuring clarity and consistency for all suppliers and delivery partners.
Build, manage, and mentor the event operations team, providing clear direction, support, and development in day-to-day delivery.
Requirements
Substantial experience in live event operations.
Strong expertise in AV, staging, livestreaming, and broadcasting.
Proven ability to lead teams, manage budgets, and vendors.
Proficiency in AutoCAD, SketchUp, or similar for technical floorplans.
Knowledge of safety, accessibility, and risk management in live environments.
Flexible to travel and work evenings/weekends during events
