About the role
Key responsibilities & impact- Coordinate immigration filings, amendments, renewals, withdrawals, and supporting documentation with counsel and internal teams
- Maintain accurate and up-to-date case information, records, and documentation
- Manage recruitment agreements, job orders, powers of attorney, and related follow-up
- Track deadlines, case status, outstanding documentation, and required actions
- Research federal and state employment requirements using reliable and credible sources
- Translate research findings into concise, practical recommendations, policies, and action plans
- Review and update contracts, addenda, templates, and compliance records
- Identify documentation or compliance gaps and escalate matters requiring further judgement or review
- Respond to routine employee and internal compliance-related enquiries
- Collaborate with leadership, employees, counsel, and cross-functional teams to advance projects and cases
- Own assigned tasks from identifying the required next step through completion and confirmation
- Maintain organised trackers and systems showing case status, deadlines, and outstanding actions
- Handle routine matters independently and escalate issues requiring additional judgement
- Support a US-based organisation placing and employing healthcare professionals in the United States
Requirements
What you’ll need- Experience in operations, compliance support, HR, case management, analytics, legal administration, or a similar field is advantageous
- Strong ownership mindset and ability to independently drive tasks through completion
- Excellent comprehension and judgement, including ability to distinguish routine tasks from matters requiring escalation
- Highly organised and deadline-driven, with ability to manage multiple tasks and priorities
- Strong attention to detail and accuracy with case information, contracts, and documentation
- Strong research skills and ability to turn reliable information into concise, practical findings
- Excellent written and verbal communication skills
- Comfortable communicating with leadership, employees, counsel, and cross-functional teams
- Self-motivated and able to work independently in a remote environment
- Strong problem-solving skills and logical approach to unfamiliar information
- Basic computer literacy and confident navigation of standard business systems
- Comfortable using Microsoft Office and Outlook
- Ability to work with digital documentation, trackers, records, and online research tools
- Immigration or employment compliance exposure is advantageous
- HR or HR administration experience is advantageous
- Case management experience is advantageous
- Legal or compliance administration experience is advantageous
- Operations or project coordination experience is advantageous
- Experience conducting regulatory or policy research is advantageous
- Experience working with contracts, agreements, or compliance documentation is advantageous
- Analytics or data-focused experience is advantageous
- Fixed fibre line with minimum 25 Mbps upload and download and wired Ethernet capability is mandatory
- Reliable power backup is mandatory
