About the role

  • Arrange travel arrangements for transferred employees and business travelers from Toyota Motor Corporation and its group companies
  • Support Japanese business travelers during their stay in the U.S. with Toyota Tourist in Japan
  • Research, create, and execute exceptional itineraries for clients
  • Manage time when researching trips and communicating with clients
  • Review individuals’ needs and wants for travel to meet needs and budgets
  • Resolve customer complaints and report to supervisor
  • Build trusting relationships with clients and provide relevant information in a timely manner
  • Attend travel seminars and training to remain updated with trends
  • Enter data into excel files and task chart and maintain necessary information
  • Work alongside other team members and attend clients outside of the office or other state as needed
  • Provide support during emergencies and business trips to other states
  • Create promotional materials and conduct market research
  • Assist in marketing activities (content development, advertising, events planning)
  • Post and update latest travel information on company's website and social media
  • Ensure business travelers adhere to company policies and inform supervisor of non-compliance
  • Offer advice, plans, and arrange clients’ leisure trips
  • Collect payment from clients for travel, lodging, and attraction tickets

Requirements

  • Degree from Junior College or higher or equivalent combination of education and experience
  • Work experience in a travel agency or client service, reservations, or sales experience in a company in related industries
  • Familiarity with Japanese client service customs
  • Fluency in reading, writing and speaking Japanese
  • Language Skills (English and Japanese)
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of clients or employees of organizations
  • Mathematical skills: add, subtract, multiply, and divide; compute rate, ratio, and percent; draw and interpret bar graphs
  • Ability to apply common sense understanding to carry out instructions
  • Computer skills: Word, PowerPoint, Excel, Internet, Teams, Travel Reservation system
  • Need to work overtime or on weekends/holidays in case of an emergency or if there is a problem
