About the role
- Coordinate and track the execution of audit and assurance workplans, including scheduling of fieldwork, team meetings, and reporting milestones.
- Support the annual and quarterly audit planning processes through data gathering, calendar coordination, and documentation support.
- Maintain audit calendars, trackers, and status dashboards to ensure visibility and timely progress on all assurance activities.
- Assist in preparing project timelines and coordination of field visits, virtual reviews, and team check-ins.
- Facilitate internal communications across the global and regional assurance teams, including maintaining shared folders, taking minutes, and following up on action points.
- Liaise with regional offices and audit teams to ensure audit-related logistics and document flows are handled efficiently and professionally.
- Support the collection, sorting, and synthesis of data for audit planning, fieldwork, and reporting.
- Assist in building visual dashboards and formatting executive reports and summaries for leadership and board-level review.
- Maintain and manage standardized templates and trackers for audit findings, follow-ups, and performance metrics.
- Assist in maintaining, updating, and improving internal audit tools, templates, and databases used by the Global Assurance team.
- Support minor troubleshooting and coordination with IT or external vendors regarding upgrades or maintenance of audit-related software platforms.
- Contribute to testing and feedback cycles for new features or updates rolled out in assurance systems or tools.
- Maintain centralized filing and version control for audit reports, evidence files, workpapers, and templates.
- Support the development and revision of internal SOPs, tools, and training materials for the assurance function.
- Identify and suggest improvements in project coordination tools, communication processes, and knowledge management systems.
Requirements
- Bachelor’s degree in Business Administration, Project Management, Accounting, or a related field.
- 2–4 years of experience in a project coordination or audit support role, preferably within a global nonprofit or international development setting.
- Prior experience supporting remote teams across multiple time zones is highly desirable.
- Strong project coordination and time management skills; experience with project management platforms (e.g., Smartsheet, Asana, MS Project) is a plus.
- Proficiency in Microsoft Office applications, especially Excel, Word, and PowerPoint.
- Experience handling documentation with high attention to detail and quality standards.
- Familiarity with audit, compliance, or risk management concepts is advantageous.
