About the role

  • Review maintenance events, component removals, repairs, and replacements for warranty eligibility.
  • Submit and track warranty claims with OEMs, vendors, repair stations, and service providers.
  • Coordinate required documentation for warranty claims.
  • Follow up on open claims to ensure timely resolution and reimbursement.
  • Maintain warranty status records for aircraft components, parts, and repairs.
  • Review maintenance work orders and service records for billable labor, parts, travel, and miscellaneous charges.
  • Ensure all labor hours, materials, vendor charges, and field service expenses are accurately captured.
  • Reconcile vendor invoices and maintenance charges against work performed.
  • Assist in identifying missed billing opportunities and cost recovery items.
  • Maintain organized records for warranty claims, billing files, service events, and customer support documentation.
  • Assist with tracking repair orders, outside vendor work, and parts-related financial documentation.
  • Support closeout of maintenance events to ensure all records are complete and ready for billing or claim submission.
  • Help develop and improve internal processes related to maintenance billing and warranty recovery.
  • Support audits or internal reviews related to billing documentation and maintenance financial records.

Requirements

  • High school diploma or equivalent required; associate degree or aviation/business-related education preferred.
  • Previous experience in:
  • Aviation maintenance administration
  • Aircraft billing
  • Warranty administration
  • Repair station or Part 135 support OR similar maintenance/operations administrative role
  • Strong understanding of aircraft maintenance systems and documentation.
  • Familiarity with:
  • Work orders
  • Maintenance invoices
  • Vendor billing
  • Warranty claim processes
  • Experience with maintenance tracking systems (Veryon/Flight Docs preferred), ERP/accounting systems, or service documentation platforms preferred.
