About the role

  • Ensure accurate and compliant processing of I-9 forms for new hires.
  • Review identity and employment authorization documents; validate authenticity, clarity, and expiration status.
  • Oversee I-9 review queues within the Workbright onboarding platform; prioritize tasks for timely processing.
  • Execute approvals, rejections, and corrections to I-9 Section 2 as appropriate.
  • Communicate with new hires regarding document rejections or requests for additional information and provide clear guidance.
  • Identify and resolve discrepancies between submitted I-9 forms, supporting documentation, and internal data.
  • Collaborate cross-functionally with Payroll and other internal teams to address complex onboarding issues.
  • Maintain accurate and consistent new hire data across all relevant HR systems.
  • Stay informed on updates to I-9 regulations and internal policies and provide guidance on common new hire inquiries related to I-9 documentation.
  • Proficiently navigate and utilize the Workbright onboarding platform and other internal HR systems for I-9 management, data entry, and status tracking.

Requirements

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • 1-2+ years of experience in HR administration, onboarding, or a role with significant compliance, document review, and data management responsibilities, preferably within a high-volume environment.
  • Proficiency with onboarding platforms (experience with Workbright is a significant plus).
  • Strong computer skills, including GSuite, Intercom, Slack.
  • Ability to quickly learn and adapt to new software and internal tools.
  • Solid understanding of I-9 regulations and acceptable documents for employment verification.
  • Familiarity with W-2 processes and basic payroll considerations.
  • Exceptional attention to detail, strong problem-solving and analytical skills.
  • Clear, concise, and professional written and verbal communication skills.
  • Organizational skills to manage multiple tasks and prioritize in a fast-paced environment.
  • Integrity and confidentiality handling sensitive personal information.
  • Adaptability to learn and apply new processes and guidelines.
