About the role
Key responsibilities & impact- Create a positive and exceptional experience for external and internal customers
- Interface with sales and internal teams to plan and coordinate new-client transitions into Insperity
- Schedule national new-client orientation meetings
- Troubleshoot logistical, approval, and document requirements
- Collaborate with Orientation Managers when requirements create meeting conflicts or barriers
- Manage incoming orientation requests and available resources
- Make cost-effective travel and scheduling decisions based on business needs, geography, costs, and attendance
- Communicate with sales and service teams regarding meeting details and availability
- Determine whether to hold meetings when contractual items are missing
- Communicate internally about transition challenges, including first-payroll timing
- Facilitate file maintenance for spin-off clients
- Support Sarbanes-Oxley and HIPAA compliance audit processes
- Provide customer service by email, in person, and by phone
- Resolve scheduling conflicts with sales and internal teammates
- Provide backup support assembling materials, including lifting up to 50 pounds
- Provide backup support to payroll coordinators during transitions
- Provide backup support to the Benefits team for escalations, client callbacks, and benefit form entries
- Maintain tracking mechanisms and recommend improvements to performance standards and measurements
Requirements
What you’ll need- High school diploma or GED required
- Four-year undergraduate degree preferred
- 2–5 years of experience in project management or a travel-related field preferred
- Knowledge of orientation scheduling, travel preparations, resource and logistical planning, documentation verification, collection, and problem solving
- Understanding of regional travel-time considerations and hotel and flight selection
- Knowledge of company departments, products, services, and resources
- Strong time management and organizational skills
- Ability to work successfully in a team environment with fluctuating orientation-request volumes
- Ability to communicate with clients and internal teams by email, in person, and by phone
- Ability to lift up to 50 pounds
- Ability to support Sarbanes-Oxley and HIPAA compliance processes
