About the role
- Manage the Clinical Director’s calendar, including scheduling clinical, operational, and cross-departmental meetings.
- Coordinate meeting logistics, prepare agendas, and ensure the Clinical Director has the relevant materials in advance.
- Support daily administrative needs so the Clinical Director can focus on leadership priorities and operational oversight.
- Help organize tasks, deadlines, and follow-ups to maintain a structured workflow.
- Monitor incoming communications for the Clinical Director and ensure messages are addressed or routed appropriately.
- Act as a coordination point between the Clinical Director and teams such as Front Desk, Marketing, Clinical HR, Credentialing, Billing, and Finance.
- Track requests, decisions, and action items to ensure timely follow-through.
- Help maintain clear communication across departments when initiatives involve multiple teams.
- Attend meetings when requested to capture key discussions, decisions, and assigned tasks.
- Prepare and distribute meeting minutes while maintaining organized records for future reference.
- Gather regular operational updates from internal teams and compile summaries for the Clinical Director.
- Maintain structured documentation that supports transparency and accountability across projects.
- Conduct research on tools, platforms, or resources that could support clinical operations or improve internal processes.
- Assist with tracking internal initiatives and cross-departmental projects.
- Help monitor the progress of ongoing operational priorities and flag potential delays or issues when needed.
Requirements
- 2 years of experience in an Executive Assistant, Operations Coordinator, or similar administrative support role.
- Experience supporting senior leadership, department heads, or operational leadership.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication in English.
- Ability to handle sensitive information with professionalism and discretion.
- Strong documentation and note-taking skills.
- Comfortable working in a fully remote environment with distributed teams.
