Manage CFO and VP-HR's calendar, schedule meetings, appointments, travel arrangements, and ensuring time-sensitive information is communicated effectively
Anticipate and proactively address the needs of the CFO and VP-HR, providing resourceful solutions and ensuring smooth daily operations
Plan and arrange corporate meetings, luncheons, and events, negotiating with vendors as necessary
Organize and manage internal and external meetings, including preparing agendas and distributing materials
Draft communications as needed for internal and external stakeholders, including for quarterly company-wide updates and newsletters
Screen and manage incoming calls, emails, and inquiries, directing them to appropriate staff and ensuring timely responses
Coordinate travel arrangements, including booking flights, hotels, and transportation, and manage expense reports
Perform other administrative duties as assigned by the CFO and VP-HR.
Requirements
Proven experience as an administrative assistant or executive assistant supporting C-level executives.
Strong organizational and multitasking abilities, with exceptional attention to detail.
Excellent written and verbal communication skills, with the ability to interact professionally at all levels.
Proficiency in Microsoft Office Suite and other relevant software applications.
Discretion and confidentiality in handling sensitive information.
Ability to work independently and prioritize tasks in a fast-paced environment.
Experience in event planning and budget management is desirable.
