About the role

Key responsibilities & impact
  • Answer incoming customer calls with professionalism, empathy, and urgency
  • Gather initial job information and ensure every customer receives a prompt, seamless experience
  • Serve as the primary point of communication between customers, technicians, project managers, insurance agents, and adjusters
  • Provide proactive updates throughout the restoration process
  • Create and maintain accurate customer and job records within company systems
  • Monitor active jobs to ensure documentation is complete, deadlines are met, and projects continue moving forward
  • Coordinate work authorizations, invoices, customer signatures, and insurance documentation
  • Review job files for completeness and follow up when information is missing
  • Maintain organized digital records throughout each project
  • Prepare reports and maintain project tracking for leadership
  • Identify opportunities to improve internal processes and operational efficiency
  • Support leadership with additional operational and administrative responsibilities as needed

Requirements

What you’ll need
  • 3+ years of experience in operations, office management, customer service, administrative support, scheduling, or a similar role
  • Outstanding organizational skills and exceptional attention to detail
  • Excellent written and verbal communication skills
  • Strong customer service mindset with a calm, professional approach during stressful situations
  • Comfortable working independently in a remote environment while taking ownership of responsibilities
  • Strong computer skills and ability to quickly learn new software platforms
  • Experience in restoration, construction, insurance, property management, or another service-based industry preferred
  • Experience with DASH, Cotality, Symbility, Xactimate, Xanalysis, or similar restoration software is a plus, but not required
  • Availability for Monday-Friday, 8:00 AM-4:30 PM EST
  • Must be located within the United States
