About the role

Key responsibilities & impact
  • Day-to-day HubSpot administration — keeping the CRM running smoothly and to agreed standards
  • Supporting the CRM data clean-up project as one of your first priorities — duplicates, incomplete records, and legacy data
  • Owning data integrity on an ongoing basis — keeping records clean, complete, and enriched to the agreed standard, not just at a point in time
  • Managing contact properties, lists, and segmentation so our data stays clean and usable
  • Setting up and maintaining workflows and automations to route leads, trigger follow-ups, and reduce manual work
  • Supporting teams with form creation and the data capture journeys behind them, including lead-routing setup
  • Testing and QA — checking forms, lists, workflows, and routing work correctly before release
  • Producing simple CRM reports and dashboards so the team can see what's working, including a regular data-quality report
  • Documenting what you build and maintaining a clear CRM change log, so knowledge doesn't live in one person's head
  • Supporting CRM requests from across the business within the standards and priorities set by the Head of Commercial Operations

Requirements

What you’ll need
  • Exposure to HubSpot or similar CRM systems (e.g. Salesforce, Zoho, Dynamics)
  • A genuine understanding of data integrity — why clean data matters, how it degrades, and the discipline to keep it enriched and accurate as an ongoing part of the role
  • Strong critical thinking: you don't take requests at face value. You ask questions, spot gaps, and escalate when a request doesn't quite make sense
  • Good communication — comfortable talking to non-technical colleagues and translating their needs into CRM terms (and vice versa)
  • Attention to detail, especially around data quality and testing before release
  • Organised and able to manage multiple routine requests alongside longer-running project work.
  • Hands-on experience with HubSpot — building and managing forms, lists, workflows, and contact data
  • Experience using AI tools — particularly Claude — to speed up or improve your work (structuring data, working through problems, drafting documentation)
  • Experience with CRM reporting and dashboards
  • Basic understanding of GDPR and consent management as it relates to data capture
  • Any experience with integrations between a CRM and other tools
  • An understanding of how sales and marketing teams use the CRM, so you can support their requests effectively.
