About the role
- Stay up to date on import laws and apply this knowledge to plan the department’s strategy, resources and processes;
- Issue "Shipping Instructions" to suppliers for each shipment, including the respective allocation sheet at the end of the process;
- Follow-up and control of sample shipments/receipts;
- Request and organize the split of customer lots for issuance of Proformas and Sales Confirmations, as instructed, creating Orders in SAP and Access;
- Monitor and follow up on deadlines for receipt of original documents, keeping the process flow uniform and on track;
- Correct possible deviations and monitor deadlines for sending original documents to customs brokers;
- Review and release all documentation relevant to the process received from external agents and/or suppliers, then send copies to customers and original documents to their respective customs brokers and agents appointed at the destination port;
- Keep the department’s internal controls and network files up to date for reference, including control spreadsheets and systems;
- Request confirmation from the customs brokers appointed by customers for shipments and update controls accordingly;
- Monitor payment clearance by importers, reporting possible delays and difficulties in receiving shipments to your manager and releasing BLs (if necessary);
- Follow-up on prospects and vessel discharge status;
- Prepare department reports: Monthly, Quarterly, Sudoko, Annual Report, etc.;
- Maintain direct and constant interface with service providers (shipping agents, surveyors, couriers, etc.);
- Create RCs and other procedures for payment of service charges such as couriers and union fees;
- Perform checks and accept vessel nominations, including discharge ports and consignees.
Requirements
- Bachelor's degree: Business Administration or International Trade
- Microsoft Office: Intermediate
- English: Fluent
- SAP (preferred)
- Experience in the fertilizer industry
