About the role
- Provide high-level administrative support to C-Suite
- Manage and maintain executive calendars, ensuring effective time management and prioritization of meetings, events, and appointments.
- Coordinate and schedule internal and external meetings and company events, including executive and board meetings, greeting guests, and following up on action items.
- Provide support for special projects, including monitoring and managing tasks and deadlines, ensuring timely completion and follow-up.
- Handle sensitive and confidential information with integrity and professionalism.
- Act as a primary point of contact between executives and internal/external stakeholders.
- Organize and coordinate travel arrangements including flights, accommodations, transportation, and itineraries.
Requirements
- Associate’s degree required, Bachelor’s degree preferred or equivalent combination of education and related experience.
- 10+ years experience supporting C-Suite preferred
- Strong proficiency in office software (Microsoft Office, etc.) and communication platforms (Slack, Zoom, etc.).
- Experience independently coordinating and booking domestic and international travel without the use of a travel agency.
- Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills with a keen attention to detail.
- Strong interpersonal skills and the ability to work effectively with a wide range of individuals, both internally and externally.
- Ability to work independently and exercise good judgment.
- Proactive and solutions-oriented mindset with the ability to anticipate needs and resolve issues effectively.
- Legal support experience is a plus.
- Experience at a biotech, start up and/or clinical organization is a plus.
- Authorization to work in the United States (application asks about US work authorization and visa sponsorship).
