About the role
Key responsibilities & impact- Manage end-to-end production for select large-scale projects, defining goals, deliverables, schedules, staffing, statements of work, and budgets
- Serve as the day-to-day client contact throughout experiential project lifecycles
- Build trusted client relationships through proactive communication and transparency
- Lead status meetings, document action items, and communicate project updates, risks, and solutions
- Align client expectations with project scope, schedule, and budget
- Develop and maintain project plans, timelines, workbacks, and critical milestones
- Coordinate strategy, creative, design, production, technology, and account management teams
- Manage multiple concurrent projects with varying budgets and complexity
- Identify project risks and implement mitigation strategies
- Ensure deliverables meet quality standards and client expectations
- Develop and manage project budgets through final reconciliation
- Track profitability, change orders, and scope adjustments
- Monitor labor, production, fabrication, shipping, travel, and installation costs
- Partner with finance and leadership on forecasting, invoicing, and financial reporting
- Source, onboard, and manage fabrication partners, production vendors, installers, and specialty contractors
- Negotiate pricing, timelines, and statements of work
- Coordinate procurement, production schedules, logistics, freight, and inventory
- Lead planning and execution for installations, activations, trade shows, retail environments, and branded experiences
- Coordinate installation schedules, labor, permits, venue requirements, shipping, and onsite logistics
- Serve as primary operational lead during installation and dismantle
- Resolve onsite issues while minimizing impact on clients and timelines
- Facilitate collaboration between creative, production, technical, and client teams
- Translate creative concepts into executable production plans
- Keep stakeholders aligned through communication and documentation
- Mentor junior project managers and coordinators as appropriate
Requirements
What you’ll need- Bachelor’s degree in Project Management, Marketing, Communications, Business, Design, or related field preferred but not required
- 7–10+ years of project management experience in experiential marketing, exhibit design, event production, branded environments, or integrated marketing agencies
- Proven experience managing projects from concept through onsite installation
- Strong understanding of fabrication, production processes, logistics, and event operations
- Experience managing six- and seven-figure project budgets
- Excellent client management and presentation skills
- Exceptional organizational, negotiation, and problem-solving abilities
- Ability to manage multiple priorities under tight deadlines
- Technical adeptness and full understanding of development methodologies and practices
- Ability to learn new innovations, technologies, and processes
- Ability to handle complex project situations
- Ability to negotiate delicate client communications
- Ability to identify risks to projects or the studio and prepare appropriate action
- Ability to balance urgency with a calm and confident demeanor
- Discretion and judgment when handling confidential information or issues
- Ability to contribute to a high-performing team
- Occasional evening work required for project final delivery deadlines
- Willingness to travel approximately 20–40% for client meetings, site visits, and installations
