About the role

Key responsibilities & impact
  • Support end-to-end planning and onsite execution of leadership meetings, training programs, acquisition welcome and integration events, offsites, conferences, and employee engagement initiatives
  • Research venues, make recommendations, and create event budget estimates
  • Review venue contracts and oversee deposits and payments
  • Coordinate event orders, AV requirements, staging, equipment, and furniture rentals
  • Create save-the-dates, invitations, reminders, event web pages, and other collateral
  • Compile and review bills, cancellation or attrition charges, and concessions to maximize group budget goals
  • Reconcile and process invoices with accounting
  • Develop and maintain project timelines, budgets, registration processes, production schedules, and event workbacks
  • Coordinate hotels, venues, destination management companies, transportation providers, AV teams, production partners, and other vendors
  • Manage registration, communications, travel coordination, rooming lists, event materials, gifts, mobile event platforms, and onsite hospitality
  • Obtain event feedback and implement changes for future events
  • Partner with Human Capital, Executive Assistants, Finance, IT, Corporate Communications, Marketing, and business leaders
  • Maintain event documentation, budgets, reconciliation, reporting, standard operating procedures, and post-event evaluations
  • Collaborate with colleagues across the Americas, EMEA, and APAC to support global employee programs and consistency in event experience

Requirements

What you’ll need
  • 2–5 years of experience planning corporate events, including sourcing, implementation, and execution
  • Detailed knowledge of venue contracts, BEOs, and vendor relationships
  • Excellent written and verbal communication skills
  • Ability to interact professionally with colleagues at every organizational level
  • Hospitality mindset focused on client experience
  • Proficiency in Microsoft Office, including Excel and PowerPoint
  • Ability to learn event technology platforms, registration systems, project management tools, and mobile event applications
  • Experience supporting executive-level clients
  • Excellent organizational and project management skills
  • Ability to identify areas for improvement and recommend updates or changes
  • Ability to remain focused and calm under pressure, think critically, and adapt confidently to shifting priorities or unexpected challenges
