About the role

  • Provide high-level, executive-focused administrative support while exercising discretion, confidentiality, and sound judgment at all times
  • Act as a strategic administrative partner to the VP, proactively anticipating needs and resolving issues before they escalate
  • Own and optimize executive calendars by prioritizing requests, resolving conflicts, and aligning schedules with business priorities
  • Coordinate complex meetings across multiple leaders, functions, time zones, and stakeholders
  • Manage domestic and international travel arrangements, detailed itineraries, and expense coordination with strong attention to detail
  • Prepare executive-level reports, presentations, and correspondence with professionalism and accuracy
  • Serve as a primary point of contact for internal and external stakeholders, representing the executive and organization professionally
  • Facilitate cross-functional communication, ensuring timely follow-up and alignment on action items
  • Manage shifting priorities in a fast-paced environment while maintaining composure and high performance
  • Support special projects, leadership initiatives, and ad hoc requests as needed

Requirements

  • 3 or more years of proven experience providing executive-level administrative support, preferably to senior leaders.
  • Exceptional time management and prioritization skills with the ability to manage multiple high-priority demands simultaneously.
  • Demonstrated ability to exercise discretion and handle confidential information appropriately.
  • Strong organizational skills and outstanding attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and related collaboration tools.
  • Excellent written and verbal communication skills, with the confidence to interact with stakeholders at all levels of the organization.
