About the role

  • Supervise, mentor, and develop a team of Project Managers responsible for coordinating internal association and owner-related initiatives
  • Establish clear expectations, workflows, and accountability standards across the project management team
  • Monitor project pipelines and ensure timely execution of all assigned initiatives
  • Provide guidance and escalation support on complex or high-risk projects
  • Oversee and directly assist Community Managers with capital improvement projects ranging from $15,000 to $5,000,000
  • Lead planning, budgeting, bidding, and execution phases of major projects (e.g., roofing, façade, mechanical systems, common area renovations)
  • Ensure compliance with association governing documents, local regulations, and industry standards
  • Identify risks proactively and implement mitigation strategies
  • Ensure all projects and internal initiatives align with approved budgets and financial expectations
  • Track and report on project financials, including variance analysis and cost controls
  • Partner with accounting and leadership to maintain financial transparency and accuracy
  • Drive cost efficiencies without compromising quality or timelines
  • Develop and maintain strong relationships with contractors, vendors, and service providers
  • Source and onboard new vendors to expand capabilities and improve service quality
  • Lead competitive bidding processes and negotiate contracts to achieve best value
  • Evaluate vendor performance and hold partners accountable to service standards
  • Oversee internal initiatives across associations, ensuring consistent execution and communication
  • Collaborate cross-functionally with property management, maintenance, and accounting teams
  • Ensure all stakeholders (board members, owners, internal staff) are informed and aligned throughout project lifecycles
  • Standardize processes to improve efficiency, scalability, and service delivery
  • Projects are delivered on time, within budget, and with high quality outcomes
  • Project Managers are effectively managed, held accountable, and continuously developed
  • Strong vendor network is maintained and expanded to support business needs
  • Internal initiatives consistently meet or exceed operational and financial expectations
  • Communication with stakeholders is proactive, clear, and professional
  • Processes are continuously improved to support growth and scalability

Requirements

  • 5+ years of project management experience, preferably in property management, construction, or capital improvement projects
  • 2+ years of leadership or team management experience
  • Proven experience managing large-scale projects (six-figure to multi-million dollar budgets)
  • Strong financial acumen, including budgeting and cost control
  • Excellent communication and stakeholder management skills
  • Ability to manage multiple projects and priorities in a fast-paced environment
