About the role

Key responsibilities & impact
  • Assist the Operations Manager or Project Manager in identifying specific project actions and notifications required to meet contractual obligations during project execution
  • Support the identification of the contract baseline and the development of project wall charts
  • Acknowledge orders in the SAP system, ensuring accuracy and timely processing
  • Prepare payment requests and customer invoices, maintaining clear communication with clients regarding financial transactions
  • Collaborate with the Supply Chain Management team and initiate Purchase Requisitions and Purchase Orders for suppliers and subcontractors in alignment with project requirements
  • Work with Supply Chain Management on material and goods receipts
  • Process Supply Orders and Service Execution Order invoices, handle tax matters, and ensure all receipts are properly placed with customers
  • Implement Hitachi Energy Service Operations processes and actively engage with team members in the continuous improvement of procedures to maximize departmental efficiency and effectiveness
  • Maintain records, databases, filing systems, and archives in both electronic and physical formats to ensure easy retrieval and compliance with record-keeping standards
  • Conduct inquiries into specific contract or subcontract issues as assigned and assist in the preparation of periodic status reports
  • Organize materials and logistics for meetings, presentations, and training sessions
  • Perform general administrative activities as required within the Service Operation Department
  • Ensure compliance with applicable external and internal regulations, procedures, and guidelines.

Requirements

What you’ll need
  • A bachelor’s degree in business administration or a related discipline is required.
  • Possess 4 to 7 years of relevant experience in administrative or operational support capacities.
  • Demonstrated administrative expertise with experience supporting operational or project-based functions.
  • Familiarity with SAP systems is highly desirable.
  • Proactive and methodical thinkers with a positive attitude and outstanding collaborative skills.
  • Strong analytical and strategic thinking skills, with the ability to translate data into actionable insights.
  • Must be detail-oriented, highly organized, and adept at managing multiple priorities.
  • Exceptional communication abilities and the capacity to work both independently and effectively within a dynamic team environment.
  • Excellent communication, negotiation, and presentation skills (both written and verbal) in English and Thai.
