About the role

  • Join our dynamic law practice as an Operations Assistant, where you'll play a vital role in supporting daily business operations and client transitions.
  • Collaborate closely with our Operations Department to ensure smooth client file transfers and maintain accurate records.
  • The role involves coordinating with various stakeholders, including clients, medical providers, and insurance companies.
  • Coordinate comprehensive client transition processes, ensuring accurate file transfers while maintaining strict confidentiality of sensitive information.
  • Draft and distribute notification letters to medical providers, insurance companies, and relevant parties regarding changes in client representation status.
  • Maintain detailed records and update internal databases to accurately reflect client status changes and operational transitions.
  • Support operational efficiency by scheduling team meetings, distributing meeting minutes, and updating internal procedure documents.
  • Collaborate with management to identify and resolve operational issues while ensuring seamless daily business operations

Requirements

  • - Hands-on experience supporting an Operations team within a legal services environment.
  • - Advanced proficiency in Microsoft Office, with exceptional Excel skills for data management and analysis.
  • - Professional work experience in a U.S. business environment.
  • - Strong analytical skills with the ability to process and interpret high-volume datasets.
  • - Proven ability to manage spreadsheets and perform complex data manipulation in Microsoft Excel.
  • - Working knowledge of internet-based software, spreadsheet applications, and word processing tools.
  • - Some college coursework completed, demonstrating foundational academic and professional preparation.
  • - Strong commitment to maintaining confidentiality of sensitive client information and internal work product.
  • - Excellent communication skills, including drafting correspondence and coordinating cross-department transitions.
  • - Ability to accurately update and maintain complex internal databases and documentation systems.
