About the role
- Join our dynamic law practice as an Operations Assistant, where you'll play a vital role in supporting daily business operations and client transitions.
- Collaborate closely with our Operations Department to ensure smooth client file transfers and maintain accurate records.
- The role involves coordinating with various stakeholders, including clients, medical providers, and insurance companies.
- Coordinate comprehensive client transition processes, ensuring accurate file transfers while maintaining strict confidentiality of sensitive information.
- Draft and distribute notification letters to medical providers, insurance companies, and relevant parties regarding changes in client representation status.
- Maintain detailed records and update internal databases to accurately reflect client status changes and operational transitions.
- Support operational efficiency by scheduling team meetings, distributing meeting minutes, and updating internal procedure documents.
- Collaborate with management to identify and resolve operational issues while ensuring seamless daily business operations
Requirements
- - Hands-on experience supporting an Operations team within a legal services environment.
- - Advanced proficiency in Microsoft Office, with exceptional Excel skills for data management and analysis.
- - Professional work experience in a U.S. business environment.
- - Strong analytical skills with the ability to process and interpret high-volume datasets.
- - Proven ability to manage spreadsheets and perform complex data manipulation in Microsoft Excel.
- - Working knowledge of internet-based software, spreadsheet applications, and word processing tools.
- - Some college coursework completed, demonstrating foundational academic and professional preparation.
- - Strong commitment to maintaining confidentiality of sensitive client information and internal work product.
- - Excellent communication skills, including drafting correspondence and coordinating cross-department transitions.
- - Ability to accurately update and maintain complex internal databases and documentation systems.
