About the role
Key responsibilities & impact- Own and maintain the senior executive’s calendar end to end
- Triage meeting requests and decide what should be scheduled, deferred, delegated, or declined
- Protect focus time and align the calendar with executive priorities
- Prepare context and materials before commitments
- Resolve scheduling conflicts proactively
- Book and manage domestic and international travel, including flights, hotels, ground transportation, and dining reservations
- Build and share detailed travel itineraries
- Handle last-minute travel changes, cancellations, and reroutes
- Manage the executive’s inbox and draft responses as needed
- Communicate professionally with internal stakeholders, external partners, and vendors
- Track and close follow-ups, confirmations, and open items
- Handle expense reporting, document management, and recurring administrative tasks
- Support ad hoc projects and special requests
- Maintain organized email, calendar, and document systems
- Complete application, video introduction, assessment, interview, and background/reference-check stages
Requirements
What you’ll need- Proven experience as an Executive Assistant supporting a senior leader managing a team of 30 or more people; hard requirement
- Strong critical-thinking skills and independent meeting prioritization judgment
- Expert calendar management experience with complex, high-volume calendars
- Excellent domestic and international travel-booking and logistics experience
- Excellent written and verbal English communication skills
- Proactive, self-directed, discreet, reliable, and strong follow-through
- Availability Monday through Friday, 8 AM to 4 PM US Pacific Time
- Updated resume required for application
- Short 1–2 minute Loom video required for advancement
- Nice to have: experience in consumer goods, beauty, retail, or lifestyle brands
- Nice to have: experience supporting executives with large, cross-functional teams
- Nice to have: familiarity with Google Workspace, Microsoft Office, Concur, or similar platforms
- Nice to have: corporate stakeholder-management experience
