About the role
- Provide support and guidance to AG specialists and assist with ongoing training of new AG team members.
- Assist in ongoing development, coordination, training and coaching of all board and association governance programs for resort leaders and client board members.
- Independent research and input of budget information for each association regarding number of units within the association, different unit types, how assessments should be allocated based on governing documents.
- Creation of legally binding consents and resolutions for board approval, manage verification of internal and board approved reserve funding and spending, management of board approval of project management agreements, and verification of accuracy and compliance with governing documents and billing policies of all owner billings.
- Independently research and manage necessary action for notices required by governing documents and/or state statutes for annual meetings, budget meetings, and other items which require notice to the ownership including customization of mailing template and creation of proxies to meet association needs and legal requirements and the engagement of third-party source for mailing.
- Managing auditor engagement approvals, billing policy approvals, budget approvals, reserve request approvals, acceptance of annual financial audits for each association, and approval of other miscellaneous matters requiring approval from the board of directors of individual associations.
- Manage the engagement of and work directly with HGV attorneys and outside counsel for individual associations as necessary for special or complex projects.
- Ensures compliance with established guidelines and protocols including:
- Compliance with governing documents and state and local statutes in the operations of timeshare and condominium regimes.
- Maintenance of the database established to house all governing regime documents, agreements, and licenses for each client association; ensure accurate, timely and consistent communication with board and association members of all reporting requirements as required by law and developed by Resort Operations.
- Responsible for the production, distribution, and receipt and certification of all proxies and ballots for client associations, as well as coordinating, attending, and facilitating meetings of all client associations.
- Performs day to day operations of association governance which include:
- Managing correspondence with resort contacts and corporate partners.
- Prepare and distribute to membership and board all association meeting notices, board books, new board member orientation, quarterly board reports, and quarterly or semi-annual newsletters.
- Manage, attend, facilitate registration and ensure minutes are captured at all association meetings - board and membership.
- Consult with resort leaders and staff to ensure accurate database of all association information, board contact information, association contracts and tracking, licenses, permits, meeting dates and timelines. Track and report on a quarterly basis compliance with documents, statutes, and HGV directives.
- Management of board relations and communication - directly interacts with individual owners and board members through frequent correspondence, phone contact, and in person at association meetings.
- Provide consultative support to our resort managers in the management of HGV client association boards and providing association governance services for client associations.
- Serve as liaison with corporate and site personnel to facilitate the timely resolution of all business issues relating to the association boards and ensure all such issues are addressed.
- Participate in the ongoing development, coordination, training and coaching of all board and association governance programs for resort leaders and client board members.
- Special projects to be performed as needed which may include management agreement preparation and approval, assessment, billing and collection policy updates, document amendment approval and special document research.
