About the role

Key responsibilities & impact
  • Review and process complex client and matter intake requests according to firm policies and procedures
  • Assist with escalated intake matters requiring analysis, workflow coordination, and collaboration with attorneys and administrative departments
  • Administer and monitor intake workflow processes
  • Advise Business Intake Analysts and firm personnel on intake procedures, workflow requirements, and system functionality
  • Identify workflow issues, trends, efficiency opportunities, consistency improvements, and data-quality issues
  • Provide recommendations to the New Business Intake Manager
  • Collaborate with attorneys, secretaries, and risk management on intake processing
  • Manage client and matter data for departing attorneys
  • Participate in projects involving business intake, workflow automation, matter management, and financial systems
  • Support development and maintenance of intake processes, standards, procedures, workflow documentation, and reference materials
  • Assist with onboarding, training, and knowledge sharing for Business Intake team members
  • Assist with development, maintenance, and execution of end-user training programs
  • Act as liaison between accounting and other teams or departments
  • Perform related duties and assigned projects
  • Report directly to the New Business Intake Manager

Requirements

What you’ll need
  • Minimum 4 or more years of experience supporting business intake, matter management, workflow administration, financial operations, legal operations, professional services operations, or related business process functions
  • Experience with automated workflow systems and enterprise business applications required
  • Experience handling complex business process requests
  • Experience coordinating across multiple stakeholders
  • Experience participating in process improvements
  • Experience supporting system enhancements or testing
  • Experience providing user guidance or training
  • Law firm intake, accounting, conflicts, or similar professional services operations experience preferred
  • Strong interpersonal, organizational, and client service skills
  • Excellent written and verbal communication skills
  • Keen attention to detail and ability to multitask and meet deadlines
  • Intermediate proficiency in Microsoft Excel, Word, and Outlook
  • Aptitude and willingness to learn new software and applications
  • Intapp Intake experience a plus
  • Strong research, problem-solving, decision-making, and analytical abilities
  • Ability to work independently and collaboratively with diverse personalities at all levels
  • Ability to maintain confidentiality and adapt to changing business needs
  • Bachelor’s degree from an accredited institution preferred and/or advanced certifications in business process management, such as PMP or Six Sigma
  • Ability to move around the office up to 15% of the time
  • Ability to operate computers and office productivity machines regularly
  • Ability to occasionally move documents or files weighing up to 15 lbs.
  • Ability to constantly communicate and exchange information with attorneys, clients, and staff
  • Ability to inspect and observe information on a computer screen at least 80% of the time
