About the role

  • Coordinate logistics for in-person events, conferences, and field marketing programs
  • Maintain event calendars, project timelines, and internal systems
  • Provide day-of support for both virtual and in-person events
  • Manage internal event documentation and communication
  • Track event expenses, ensuring invoices and receipts are organized and up to date
  • Manage event inventory, including booth assets, swag, and printed materials (via Sendoso and new orders)
  • Coordinate shipping and delivery of materials before and after events
  • Ensure all materials arrive on time and in excellent condition
  • Support end-to-end execution of HappyCo’s webinar program
  • Build and manage registration pages and attendee workflows within webinar platforms
  • Oversee attendee communications, including reminders and follow-ups
  • Provide live webinar support and manage participant engagement
  • Coordinate post-event materials and distribution

Requirements

  • 2–4 years of experience in event marketing, field marketing, or a related role (B2B or SaaS preferred)
  • Proven ability to tie event efforts to measurable outcomes
  • Experience coordinating webinars, trade shows, or customer events
  • Exceptional organization and attention to detail, with the ability to manage multiple priorities
  • Strong written, verbal, and presentation skills
  • A collaborative, proactive mindset with a desire to learn and grow
  • Familiarity with event tools, Notion, Salesforce, and HubSpot is a plus
  • Ability to work effectively across time zones in a global environment
