Junior Secretarial Analyst
Grupo ConduzirProviding secretarial and administrative support to directors and management at Grupo Conduzir. Assisting in organizing meetings, travel, expenses, and office processes.
About the role
Key responsibilities & impact- Act as interface with Directors and Heads, preparing and tracking agendas, minutes, updates, and action item follow-ups.
- Support the organization of meetings, ensuring appropriate infrastructure, hiring, payment, and verification of services.
- Assist in creating and updating presentations by collecting and organizing information from the relevant departments.
- Support reimbursement and expense control by receiving and organizing receipts, verifying compliance with the Reimbursement Policy, entering records into the system, and monitoring payments.
- Provide assistance in travel organization, obtaining quotes, making reservations, and coordinating according to internal guidelines.
- Make transportation requests (cars, couriers/messengers, etc.), monitor execution, payments, and supplier evaluations.
- Execute online and in-person purchasing processes, obtain quotes, place orders, and track delivery and payment in accordance with the Purchasing Policy.
- Research services and suppliers, organize information, and keep the supplier database up to date.
- Maintain organization of institutional physical and digital files, ensuring standardization and easy access.
Requirements
What you’ll need- Education: Bachelor’s degree in Administration, Executive Secretariat, Business Management, Social Communication, Journalism, Languages/Literature, or related fields.
- Tools: Intermediate Excel and familiarity with Canva.
- Experience: Minimum of 1 year in administrative functions.
- Preferred: Extracurricular courses in Executive Support and Corporate Governance.
- Additional preferred experience: prior work supporting senior/executive secretariat and/or a minimum of 1 year in a company within the healthcare sector.
