About the role
Key responsibilities & impact- Coordinate and monitor operational documentation, reports, records, and departmental files.
- Support the preparation, submission, and tracking of Purchase Requisitions (PRs) and Purchase Orders (POs) in collaboration with Procurement and other internal stakeholders.
- Assist in managing vendor documentation, contracts, and operational records.
- Coordinate meetings, prepare agendas, and record meeting minutes when required.
- Support communication and coordination between Operations, Procurement, Finance, Asset Management, O&M, and other business functions.
- Maintain and update operational databases, trackers, and reporting tools.
- Monitor deadlines and follow up on pending actions to ensure timely completion of operational activities.
- Assist with onboarding and administrative support for new team members and external service providers.
- Support the O&M team with administrative and coordination activities as operational activities expand.
- Prepare presentations, reports, and other administrative documents as required by management.
- Ensure compliance with internal procedures and documentation standards.
Requirements
What you’ll need- Bachelor's degree or equivalent professional experience in a relevant field
- 2–4+ years of experience in an administrative, coordinator, office support, or assistant role.
- Experience supporting operational, procurement, or project-related activities is considered an advantage.
- Experience working in an international and fast-paced environment is desirable.
- Strong organizational and administrative skills;
- Attention to detail and ability to manage multiple tasks simultaneously;
- Proactive and solution-oriented mindset;
- Strong communication skills, both written and verbal;
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook);
- Knowledge of SAP or similar ERP systems is an advantage;
- Ability to work effectively in a dynamic and international environment;
- Fluency in English and Romanian is mandatory;
- Knowledge of the renewable energy sector is considered an advantage.
