About the role

Key responsibilities & impact
  • Coordinate and monitor operational documentation, reports, records, and departmental files.
  • Support the preparation, submission, and tracking of Purchase Requisitions (PRs) and Purchase Orders (POs) in collaboration with Procurement and other internal stakeholders.
  • Assist in managing vendor documentation, contracts, and operational records.
  • Coordinate meetings, prepare agendas, and record meeting minutes when required.
  • Support communication and coordination between Operations, Procurement, Finance, Asset Management, O&M, and other business functions.
  • Maintain and update operational databases, trackers, and reporting tools.
  • Monitor deadlines and follow up on pending actions to ensure timely completion of operational activities.
  • Assist with onboarding and administrative support for new team members and external service providers.
  • Support the O&M team with administrative and coordination activities as operational activities expand.
  • Prepare presentations, reports, and other administrative documents as required by management.
  • Ensure compliance with internal procedures and documentation standards.

Requirements

What you’ll need
  • Bachelor's degree or equivalent professional experience in a relevant field
  • 2–4+ years of experience in an administrative, coordinator, office support, or assistant role.
  • Experience supporting operational, procurement, or project-related activities is considered an advantage.
  • Experience working in an international and fast-paced environment is desirable.
  • Strong organizational and administrative skills;
  • Attention to detail and ability to manage multiple tasks simultaneously;
  • Proactive and solution-oriented mindset;
  • Strong communication skills, both written and verbal;
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook);
  • Knowledge of SAP or similar ERP systems is an advantage;
  • Ability to work effectively in a dynamic and international environment;
  • Fluency in English and Romanian is mandatory;
  • Knowledge of the renewable energy sector is considered an advantage.
