About the role

Key responsibilities & impact
  • Support outbound and inbound new business efforts alongside senior leadership
  • Coordinate outreach, follow-ups, and meeting logistics with prospective clients
  • Serve as a professional point of contact for early-stage inquiries in both English and French
  • Track leads, contacts, and opportunities in the CRM
  • Monitor incoming inquiries and route opportunities appropriately
  • Maintain visibility into pipeline status, next steps, and priorities
  • Assist with scheduling, preparation, and follow-up for new business meetings
  • Prepare leadership with materials, research, and context ahead of conversations
  • Track action items and move opportunities forward after meetings and pitches

  • Support pitch preparation with briefing documents, internal summaries, and background materials
  • Coordinate with internal teams to gather inputs and align on new business opportunities
  • Help ensure clear communication and smooth handoffs across departments

Requirements

What you’ll need
  • 1–3+ years of experience in coordination, operations, sales support, account support, or a related role
  • Fluent in English and French, spoken and written — required
  • Based in New York City — required
  • Highly organised with strong attention to detail and follow-through
  • Comfortable supporting senior leaders and managing multiple priorities
  • Strong written and verbal communication skills
  • Curiosity about creative agencies, branding, and experiential marketing
  • Proactive, reliable, and calm under pressure
  • Experience in a creative agency or professional services environment
  • Familiarity with CRM tools like HubSpot or Salesforce
  • Experience working with international or French-speaking clients
  • Strong research or writing skills
