About the role
- Manage complex calendars, travel, meetings, and correspondence for the EVP & CMO and Marketing Leadership Team.
- Anticipate needs, resolve scheduling conflicts, and ensure leaders are fully prepared for meetings and deliverables.
- Prepare and edit presentations, reports, and communications with a high level of polish and accuracy.
- Handle confidential information and sensitive communications with discretion and professionalism.
- Process expenses, manage budgets, and track key departmental approvals as needed.
- Support department-wide meetings, communications, and follow-ups to ensure alignment and accountability.
- Maintain shared tools, trackers, and files (Teams, SharePoint, Workfront?, Jira?) for consistency and efficiency.
- Assist with onboarding and offboarding by coordinating equipment, system access, scheduling introductions, preparing welcome materials and ensuring seamless transitions.
- Identify and implement administrative process improvements that enhance workflow and collaboration.
- Partner with the Events Manager to support both internal and external events.
- Coordinate event logistics such as scheduling, travel, catering, materials, and vendor communications.
- Manage event communications, invitations, and post-event documentation.
Requirements
- 5+ years of experience supporting senior executives, preferably in Marketing or Communications.
- Strong proficiency in Microsoft 365
- Excellent organization, communication, and presentation skills.
- High level of professionalism, discretion, and attention to detail.
- Proven ability to work independently and collaboratively in a dynamic environment.
- Prior involvement in coordinating corporate events, conferences, or leadership meetings.
