About the role
Key responsibilities & impact- Support day-to-day leadership and oversight of administrative operations across one or more offices in the assigned region.
- Coordinate and align local office practices with firm-wide policies, goals, and standards.
- Collaborate with cross-functional teams (e.g., IT, Marketing, Professional Development) to implement firm programs, technology rollouts, and internal initiatives.
- Support facilities, office services, duplicating, reception, housekeeping, litigation support services, secretarial management, and travel functions in collaboration with supervisors and managers.
- Support with HR to develop staffing strategies and oversee recruitment, onboarding, training, and performance management programs.
- Provide coaching and mentorship to administrative personnel; drive professional development and continuous improvement initiatives.
- Collaborate with Office Administrator/s regarding employee relations matters locally, including counseling, disciplinary actions, performance improvement plans, and terminations in connection with HR.
- Assist with local engagement and retention initiatives tailored to the regional offices’ culture and business needs.
- Conduct exit interviews and compile feedback for review by management.
- Monitor office appearance and coordinate with appropriate parties to maintain established standards.
- Support security and emergency preparedness protocols.
- Coordinate communications with external partners, including insurance brokers, vendors, and healthcare providers.
- Perform other duties as assigned.
Requirements
What you’ll need- Four (4)-year college degree.
- A minimum of five (5) years of verified related work experience.
- Comparable work experience may be substituted for educational requirements.
- Work experience should be in large office administration or business management.
- Ability to work with a diverse workforce.
- Strong accounting and financial skills.
- Strong organizational skills are essential.
- Demonstration of good communication skills (written and verbal) and a command of the English language, including proper use of spelling and grammar.
- Must have solid computer skills including experience with word processing, spreadsheet, database and presentation programs.
- Ability to juggle multiple projects and respond quickly to changing priorities.
- Ability to evaluate problems and formulate successful solutions in a timely manner.
- Ability to work independently as needed with little or no direction.
