About the role

Key responsibilities & impact
  • Coordinate routine maintenance requests from initiation through completion
  • Troubleshoot maintenance issues and determine appropriate repair solutions
  • Assign and schedule qualified vendors and monitor work orders
  • Coordinate appliance replacements, material orders, and deliveries
  • Manage capital improvement projects, including roofing, fencing, HVAC, flooring, painting, plumbing, and appliance replacements
  • Coordinate emergency restoration projects involving water, fire, mold, storm, or biohazard damage
  • Develop project timelines and monitor progress through completion
  • Communicate repair recommendations, project updates, costs, and timelines to homeowners and residents
  • Translate contractor estimates and scopes of work into homeowner recommendations
  • Obtain homeowner approvals and escalate complex issues to the Property Management Executive
  • Maintain vendor relationships, source and qualify vendors, solicit bids, negotiate pricing, and evaluate performance
  • Coordinate with insurance adjusters and restoration vendors and track claim documentation, approvals, and supplements
  • Review estimates, monitor budgets, prevent cost overruns, and verify vendor invoices and completed work
  • Ensure work complies with quality standards, building codes, safety regulations, and permitting requirements
  • Maintain documentation in AppFolio and other company systems
  • Evaluate workflows, recommend operational improvements, and develop maintenance procedures and best practices
  • Participate in departmental meetings and special projects
  • Support other operational initiatives and perform assigned duties

Requirements

What you’ll need
  • Minimum 2 years of maintenance coordination, project coordination, construction coordination, or property management experience
  • Strong organizational and project management skills
  • Excellent written and verbal communication
  • Exceptional customer service and negotiation skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with Google Workspace, including Gmail, Drive, Docs, and Sheets
  • Reliable internet connection of at least 50 Mbps
  • Ability to work 8:30 a.m.–5:00 p.m. Pacific Time
  • Preferred: Bachelor's degree
  • Preferred: Experience with AppFolio
  • Preferred: Experience with LeadSimple
  • Preferred: Residential property management experience
  • Preferred: Residential construction or restoration experience
  • Preferred: Insurance restoration or claims coordination experience
  • Must be seeking a 1099 contract position
