About the role

  • Support the Self Determination Program supervisors
  • Provide general Administrative support for the SDP team
  • Prepare agendas and supporting data for meetings and appointments
  • Maintain files and confidential material for the SDP
  • Assist members of the Self-Determination Local Advisory Committee (SDLAC)
  • Arrange appointments, conferences, training and meetings
  • Compose and prepare highly specialized correspondence
  • Field internal and external inquiries by phone, email, and in person
  • Manage clerical workflow and activities to meet deadlines
  • Maintain SDP participant spreadsheets for DDS data collection
  • Create, maintain and distribute SDP informational brochures for outreach
  • Provide assistance to the SDP unit staff as needed
  • Collect information and data, compile reports in support of assigned projects
  • Prepare and process statistics monthly for SDPLAC meetings
  • Attend weekly SDP Unit meeting
  • Participate in special projects and additional duties as assigned
  • Maintain all client information as confidential in compliance with HIPAA and the California Lanterman Act

Requirements

  • High School Diploma or equivalent
  • 5+ years of increasingly responsible administrative experience
  • Written communication: ability to develop standard business communications, using proper grammar, spelling and punctuation
  • Oral communication: ability to convey complex information and ideas in a clear, concise and professional manner
  • Ability to operate basic office equipment, including scanners, copiers, faxes, phones
  • Intermediate knowledge of MS Word® (e.g., tables, mail merges, form creation), MS Excel® (e.g., Pivot Tables, Lookups, graphing), MS PowerPoint®, MS Outlook® (e.g., group list management, multi-calendar management)
  • Knowledge of office methods, procedures, and equipment
  • Ability to work with confidential material in an appropriately professional manner
