About the role
- Support the preparation, review, and version control of regulatory filings (e.g., N-1A updates, 485BPOS, 497 supplements, and related state filings).
- Manage the EDGAR filing process end-to-end (document compilation, formatting, submission and confirmation of acceptance), ensuring 100% accuracy in formatting and confirmation.
- Draft, proofread, and conduct consistency and version-control reviews of disclosure documents and related materials.
- Build and maintain high-fidelity filing calendars, status reports, and internal trackers to ensure timely, accurate submissions and adherence to deadlines.
- Organize and maintain contract records, including executed agreements, amendments, and restatements.
- Assist with preliminary review of NDAs and other corporate agreements under attorney supervision.
- Prepare documents for execution and coordinate signature collection with internal and external stakeholders.
- Track jurisdictional requirements, maintain regulatory matrices, and organize guidance from local counsel.
- Provide documentation and administrative support for international ETF distribution initiatives.
- Support execution and maintenance of international selling agreements and related platform documentation.
- Track deliverables, maintain timelines, and support coordination across legal workstreams.
- Contribute to legal operations initiatives, including template standardization, playbook development, and workflow enhancements.
- Assist with employment-related matters, internal reviews, outside counsel requests, and litigation holds through document collection, organization, and tracking.
- Maintain matter files, support scheduling and deadlines, and ensure accurate recordkeeping across legal matters.
- Partner with attorneys and internal stakeholders to improve processes as the platform scales.
Requirements
- 2–5 years of paralegal experience within a law firm or in-house legal team supporting investment management, registered funds, or financial services
- Experience with ETFs, registered funds, or SEC filings strongly preferred
- Deep familiarity with SEC filing processes and document management practices
- Strong attention to detail and organizational skills, with the ability to manage multiple priorities and deadlines
- Ability to work independently while collaborating effectively with attorneys and legal team members
- Professional judgment, discretion, and reliability in handling sensitive information
- Bachelor’s degree (required); a Paralegal Certificate is a plus.
