- **ABOUT THE ROLE**
- We are looking for a Workplace and Employee Experience Coordinator who thrives on variety, adapts quickly, and genuinely cares about improving the everyday experience of those around them. This unique hybrid role (3 days per week in the office) sits at the intersection of People & Culture and office Operations, making it an ideal stepping stone for someone who wants to build an HR career while ensuring our workplace runs smoothly day to day.
- Reporting to the Vice President, People & Culture, you will be the go-to person for new-employee onboarding, employee engagement, health & safety, and everything that helps make work truly enjoyable. You will also provide direct support to our CEO and play a key role in innovative projects such as our AI initiatives. If you bring energy, ideas and a bias for action — you belong here.
- **WHAT YOU WILL DO**
- GHGSat is looking for an excellent colleague with a proven track record in prior roles. Your responsibilities are organized around two main pillars:
- **People & Culture**
- **Onboarding & welcome lead:** Own the full onboarding experience for new employees — from offer acceptance through day 90 — ensuring each hire feels welcome, informed and ready to contribute.
- **Employee engagement lead:** Design and run employee engagement initiatives, including recognition programs (peer and manager awards), themed challenges (e.g., step challenge, wellness month), team activities and seasonal celebrations.
- **Chair of the Health & Safety Committee:** Chair the workplace Health & Safety committee, coordinate inspections and training, maintain compliance documentation and act as the primary point of contact for H&S matters.
- **AI & Innovation projects:** Collaborate on cross-functional projects with a short-term focus on our productivity-focused AI initiative — researching tools, running pilots and integrating new workflows across the team.
- **People & Culture projects:** Support ad hoc People & Culture projects as the company grows — from coordinating company-wide Q&A sessions to preparing P&C meeting agendas and minutes, updating policies and running cultural initiatives. No two weeks are the same.
- **Policy & documentation upkeep:** Participate in ongoing policy reviews, maintain and organize internal documents — including keeping our HRIS (BambooHR) clean and up to date — and ensure key resources are easily accessible.
- **Recruiting logistics:** Support recruiting efforts by contacting candidates, coordinating interviews and ensuring smooth information flow between interviewers and the hiring manager from end to end.
- **Benefits administration support:** Assist with employee benefits administration — answer questions, liaise with providers and help manage enrollments and related documentation.
- **Office Operations**
- **Executive administrative support (25%):** Provide direct support to the CEO (approximately 25% of the role), including calendar management, travel bookings, expense reports and coordination of executive meetings.
- **Office management:** Ensure the office operates smoothly day to day, including managing supplies and facilities maintenance.
- **Event coordination:** Plan and execute company events, team activities and meetings — from room bookings to day-of logistics. We have four major annual events: holiday party, oyster event, family BBQ and board meeting.
- **Meals & catering:** Coordinate meal orders for senior leadership meetings, special events and office-wide occasions, accommodating dietary preferences.
- **Vendor management:** Manage relationships with office vendors and service providers, including alarm systems, caterers, cleaning companies and office-supply vendors.
- **Meeting coordination:** You may be asked to schedule and facilitate internal and external meetings, prepare necessary materials and set up conference rooms or virtual platforms.
- **Executive support:** Provide occasional support to other members of the leadership team as needed.
