• **Key Responsibilities**
• **Accounting & Reporting**
• - Perform **full-cycle accounting** tasks including bank & credit card reconciliations, journal entries, and general ledger maintenance.
• - Manage accounts payable and receivable for multiple clients.
• - Prepare payroll, quarterly payroll reports, and related compliance documentation.
• - Prepare and file **sales tax returns** and assist with other tax regulatory filings.
• - Generate accurate financial statements such as **profit & loss, balance sheets, cash flow reports, and tax basis reports**.
• **Tax Support & Compliance**
• - Prepare and organize client tax return documents in advance of tax season.
• - Submit electronic filings (e-file) and track confirmations for tax submissions.
• - Maintain documentation for federal, state, and local tax compliance deadlines.
• - Communicate with clients about missing tax information, deadlines, and documentation needs.
• - Assist with coordination of tax planning checklists and onboarding of tax clients.
• **Administrative & Client Service**
• - Serve as a primary client contact for accounting and tax administrative questions.
• - Organize and maintain **client files, tax documents, and compliance records**.
• - Assist in onboarding new clients, including information gathering and account setup.
• - Help onboard and train new team members as the department grows.
• - Support internal process improvements to streamline workflows across accounting and tax functions

Client Accounting – Tax Specialist

Executive Assistant

• Provide full-service scheduling support for firm leadership, including client meetings, strategic planning sessions, and business development activities
• Optimize executive calendars to minimize conflicts, prioritize high-impact work, and improve overall efficiency
• Coordinate internal meetings across advisors, planners, and specialists to ensure alignment and preparedness
• Manage external meeting coordination with clients, prospects, Centers of Influence, and business partners
• Prepare agendas, pre-meeting materials, and follow-up notes as needed
• Coordinate executive travel, offsite meetings, and recurring leadership meetings
• Support executive-hosted activities related to business development and client experience, including client celebrations, milestone events, and relationship-building engagements
• Assist with logistics for select personal events tied to executive priorities and client or firm relationships
• Coordinate venues, vendors, reservations, and timelines in partnership with internal teams or external providers
• Manage invitations, confirmations, and attendee tracking for executive-hosted engagements
• Ensure executives are prepared for key moments with schedules, materials, and logistical support

• Maintain executive calendars and support scheduling tied to firmwide initiatives

• Serve as a liaison between executives and internal teams to support clear communication and timely execution
• Handle confidential and sensitive matters with discretion and professionalism
• Maintain accurate and up-to-date records in Practifi, including contacts, meetings, and business development activities
• Ensure relationship-building meetings and engagements are properly documented and coded
• Code business and personal expenses accurately in Divvy, ensuring compliance and proper documentation
• Support data integrity and consistency across systems and reporting
• Review and refine administrative and scheduling processes to support firm growth and scalability
• Identify inefficiencies and recommend solutions to improve executive support and operational effectiveness
• Collaborate with leadership to implement best practices that align with organizational goals

Consultant

• Partner with consultants, advisors, and the Investment Committee to deliver fiduciary oversight, plan governance, and strategic consulting.
• Prepare and participate in client meetings, including fiduciary reviews, benchmarking, compliance discussions, and participant education sessions.
• Manage meeting logistics, take detailed notes, track follow-up items, and ensure accountability across internal and external partners.
• Develop deep understanding of plan design, ERISA compliance, and recordkeeping operations.
• Leverage retirement plan tools and reporting systems to generate insights, performance metrics, and benchmarking analyses.
• Support contribution updates, distributions, and amendments while ensuring accuracy and compliance.
• Identify process improvements and efficiencies that enhance client and participant experiences.
• Partner with the firm’s Tax & Accounting and Wealth Planning teams to integrate plan design and tax strategies.
• Assist in business development efforts, RFPs, and relationship management activities.
• Actively contribute to business development initiatives — including proposal preparation, prospect meetings, and relationship-building with centers of influence (COIs).
• Embrace technology, including AI and automation tools, to enhance deliverables and operational efficiency.
• Participate in special projects that expand your skills and understanding of institutional advisory work.
