About the role

  • Provide a broad range of administrative and clerical support for partners, associates, and paralegals in the German Corporate Practice Group
  • Create, transcribe, revise and maintain legal documents and correspondence
  • Make edits to documents, spreadsheets, and letters; prepare and assemble error-free final documents and ensure timely delivery
  • Screen telephone calls and serve as liaison between attorneys and internal/external contacts
  • Open, stamp, sort mail and note dates; retrieve files and documents; maintain filing system, contact list, and calendar
  • Enter attorney time into time system and prepare/complete administrative forms and expense reports
  • Handle administrative matters including conflict checks, receiving reports, file opening/closing, and billing review
  • Coordinate attorneys' schedules, make travel arrangements, schedule appointments and necessary resources (conference rooms, vendors)
  • Copy documents, coordinate office assistance, file/box/close files as needed
  • Assist with internal and client meetings; find factual information on the Internet as directed
  • Provide assistance to other staff as requested and perform other duties or special projects as assigned

Requirements

  • High School Diploma or equivalent required
  • Three to five years of legal support experience, preferably in a law firm
  • Fluency in German (native or near-native proficiency strongly preferred)
  • Strong proficiency in oral and written German with ability to perform accurate dictation
  • Ability to type at least 70 wpm without error
  • High level of proficiency in MS Office and iManage
  • Knowledge of relevant legal terminology
  • Knowledge of the procedures for establishing and maintaining legal and other records and files
  • Ability to gain confidence and trust of attorneys and staff and work well with others
  • Strong grammar, excellent proofreading skills, and attention to detail
  • Strong multitasking skills and the ability to thrive in a fast-paced environment
  • Excellent planning and organizational skills
  • Professional demeanor and detail orientated
