About the role
- Best-in-class preparatory accounting: You collect and check receipts, assign them neatly and hand everything over properly to the tax advisor (with Qonto & Datev integrations).
- You are the backoffice control center: accounting, payroll, social security — you keep the contacts, resolve open issues independently and ensure that nothing falls through the cracks.
- You make numbers and information team-ready: whether employee records, newsletter performance or financial reports — you ensure data is correct and presented in an understandable way.
- Structure fan? You build a clear digital backoffice structure — cloud folders, contracts, documents, inboxes. Everything has its place and can be found within seconds.
- You keep logistics communication running: you are the point of contact for fulfillment/logistics, answer queries and coordinate restocking processes.
- Inventory & forecasting to avoid stockouts: you monitor inventory levels, identify bottlenecks early and support order forecasting and replenishment so we can scale predictably — without chaos or “oh no, sold out.”
- You’re close to the customer: you handle customer inquiries in support, respond quickly and politely, and make sure no request is overlooked.
- You enable growth: you free up management to focus on growth, product and vision — because you make sure things run smoothly in the background.
Requirements
- 2–5 years of experience in a commercial or administrative role (e.g. office management, backoffice, team assistance, clerical work)
- Exposure to preparatory accounting — Qonto knowledge is a plus but not required. We work heavily with Google Workspace in the backoffice.
- Tech‑savvy & confident with tools: you’re comfortable using modern cloud tools (e.g. Asana, Google Workspace, Claude) and eager to try new software — if you only know Excel and Outlook, this role won’t be a great fit.
- Organization is your thing: structured filing, clean lists and processes that reliably work.
- Accuracy & discretion: you handle financial and personnel data responsibly.
- Willingness to take responsibility: you’re ready to learn payroll and e‑commerce topics and drive tasks independently.
- Amazon experience is a plus: ideally you’ve managed Amazon inventory and/or tracked performance KPIs (e.g. sales, conversion).
- Remote‑friendly: you’re comfortable working remotely and don’t mind 1–2 on‑site days per month in the Würzburg area.
